Conditions for Visits, Study Days and other events

  1. Bookings: Applications may be sent in to the organising Committee Member at any time following issue of the event Booking Form and should be accompanied either by a bank transfer or by a cheque for the full amount.  Reservations for places at the event will be dealt with in order of receipt. Members may not be specifically advised of their acceptance unless a stamped addressed envelope is enclosed with their application. If the event is over-subscribed the member will be automatically added to the waiting list.
  2. Payment: the preferred payment method is by bank transfer quoting the reference stipulated on the event booking form.  Alternatively a separate cheque can be provided for each event. Cheques should be post-dated up to three weeks before the date of the event and will not normally be presented until 21 days before the event. All cheques should be made out to BD&FAS unless otherwise notified. Cheques for members on the Waiting List will be held and returned or destroyed if no place becomes available for the event.
  3. Cancellations: A full refund will be made for cancellations received 21 days prior to the event. After this date, no refunds will be made unless a replacement can be found. If an event has to be cancelled e.g. because of lack of support, or other reason beyond the control of the society, then all monies paid will be refunded. Members will be aware that the costing for an event is based on a certain number of person attending. If an event has to be cancelled for lack of support or other reason beyond the control of the Arts Society Beaconsfield then all monies paid will be refunded.
  4. Insurance Disclaimer: The Arts Society Beaconsfield cannot be held responsible for any personal accident, loss, damage or theft of members’ personal property. Members are covered against proven liability of Third Parties.  Full details of TAS Insurance can be found in a Summary Document or Certificate.

  5. Guests: Non-members may be accepted to take part in an event provided:
    • They are accompanied by a member who is also attending the event.
    • Application is made 14 days prior to the event.
    • There are vacancies and no members on the Waiting List.

Non-member Lecture Attendance:   Non-members on the waiting list can attend the monthly lectures  for £5 per session. Other guests can attend up to three lectures in the period February to July and on the basis of room being available for £10 per session. Only members can attend the AGM and its lecture.

Member Safety

To help your committee in the event of a health emergency, please can you read the following information.

  • Fitzwilliams Centre evacuation - If you feel that in the event of an evacuation you might need help, please can you tell the organiser when booking into a lecture.
  • Your name.  Please make sure your name is in your belongings i.e. on a bank card.
  • Emergency contact details
    • Keep a note in your wallet of your Next of Kin / their telephone number, so that if needed we can contact them.   Any medical instructions would also be useful.
    • Tell a member of the committee so that we can keep a record in our emergency response file, which we keep in the hall.
